Introduction
In an omnichannel world, visibility of orders in NetSuite’s inventory management system is not a nice-to-have, it is vital for running effectively, keeping the customer happy, and making proactive decisions. For any business using the NetSuite ERP system that fulfills through 3PL vendors and sells via a platform like Shopify, if visibility is not real-time across these different systems, it is very easy to get put in a critical bottleneck situation — there is not a seamlessly integrated NetSuite order management system. In simple terms, your orders could be stuck in the pipeline, fulfillment lead times could be too long, and support teams are slowed down from cases raised by customers experiencing an issue trying to only fulfill their order — simply because it's slower and much harder to have synchronized data in real-time across NetSuite, inventory, and/or fulfillment systems.
This is where an Order Management System (OMS) Dashboard built on-top of NetSuite is revolutionary.
What Is an Order Management System (OMS)?
An Order Management System (OMS) is a software solution that allows businesses to track, control, and deliver orders for customers throughout all sales channels which include sales through eCommerce platforms (such as Shopify), marketplaces, POS systems, and B2B.
It acts as a central point at which sales, inventory, fulfillment, and customer service data are reconciled and during which the order will be fulfilled accurately, the orders will reflect competencies of real time with the inventory being up to date while accurately communicating with the customer through the order lifecycle.

Challenges With OMS & How NetSuite Integration Solves Them?
Pitfall 1:Disconnected Order Channels
Orders flow in from Shopify, but it is lagging from 3PL updates and does not sync properly with NetSuite - leading to errors and mismatched orders.
Solution:
We implemented real-time API syncing between Shopify, 3PL, and NetSuite, centrally managed from one OMS dashboard, to ensure we have the same information at all 3 locations.
Pitfall 2: Delayed eCommerce Fulfillment Visibility
Once operations teams receive shipment statuses, there is already a delay, which can impact an SLA and create more support tickets.
Solution:
Our dashboard listens to 3PL webhooks and auto updates NetSuite and Shopify with fulfillment status and tracking information in real-time.
Pitfall 3:No Control Over Backorders
When warehouses ship partial orders, there is often an issue with correctly reflecting, thus leading to a backorder being missed or mismanagement.
Solution:
We built some logic to automatically update sales orders in NetSuite, with real-time tagging for backorder and tracking for fulfillment status.
Pitfall 4: Missing Or Mismatched Invoices
If it’s not clear what the fulfillment status is, the finance team doesn't generate invoices on time, which could play into missing revenue cycles.
Solution:
The dashboard flags to see when an order can be invoiced based on fulfillment completion status, enabling the finance team to invoice quickly.
Pitfall 5: Manual Cross-Checking Between Systems
The team is wasting time reconciling Shopify orders in NetSuite and confirming that 3PL has actually fulfilled them.
Solution:
One source of truth on a central OMS dashboard will give all departments a real-time view of orders and will eliminate manual cross-checking while saving the team hours every week.
Pitfall 6: No Alerts for Exceptions
The team is not alerted to aging orders, missing tracking numbers, and failed syncs until the customer complains.
Solution:
We implemented exception alerts and custom triggers to notify the relevant teams in advance of the customer raising it as a problem.
Pitfall 7: Inconsistent Inventory Across Different Warehouses
A warehouse update like returns, cycle counts, or damages updating the configuration will not sync correctly and will cause inaccurate inventory.
Solution:
The integration pushes inventory updates from 3PL to NetSuite by scheduled API syncs, leaving inventory always up to date.
Key Benefits of Using NetSuite’s Order Management System (OMS)
A strong Order Management System (OMS) is necessary for stores that accept customer orders and fulfill order requests in multiple channels. There is quite a distinction between an OMS that simply tracks orders, like dozens of systems doing the same thing today, to an OMS like NetSuite that can automate and add real-time visibility and accuracy to help power modern commerce solutions. Here's how NetSuite OMS provides value:
Increased Process Efficiency
NetSuite takes control of your order management process by automating the critical steps of order management from order capture to order fulfillment with minimal manual processing time. This means you can handle more orders, accurately, and faster and freeing teams from delays caused by bottlenecks that slow down fulfillment across your departments.
Inventory Visibility in Real-time
NetSuite OMS takes the purchase, sale, adjustment, and returned inventories into real-time accounting with each of your sales channels and fulfillment warehouses. This will provide better demand forecasting and planning to help prevent oversells, stockouts, and dead stock where you can't fulfill your customer orders once you know about them.
Improved Fulfillment Workflows - Exactly What You Need
NetSuite OM has the power to automate the processes of picking/packing/shipping orders and directing the order to the best warehouse to fulfill each order. This means fewer mis-ships, faster shipping, and lower shipping operating costs compared to before using NetSuite OMS.
Better Customer Experience
Customers value timely information, or at least in their time- 24/7 visibility to their orders. NetSuite OMS provides full life cycle visibility into orders in a delivery queue, and a product in a return queue. If customers are provided information and to-the-minute changes to orders, customer satisfaction and experience increase, and the number of requests for inbound support tickets decreases.
Improvement in Revenue Growth & Error Reduction
Fewer mistakes in fulfillment, increased speed of order cycles, and improved communication all help to build trust with customers, which translates into repeat purchases. Companies developing revenue from NetSuite OMS will typically experience better accuracy in their orders and reduce cash flow issues
Insightful Reporting Capabilities & Analytics
Having a centralized OMS is critical to obtain rich data from order to return, from fulfillment performance to customer trends. This type of reporting will provide the business valuable insight so they may optimize workflows, demand forecasts, as well as make better decisions on inventory management.
Scale to Support Growth
Orders processed at NetSuite can range from hundreds to thousands a day. We have built NetSuite OMS to scale based on your needs. This product was designed as a modular, cloud-based product, so you quickly scale with your order levels, channels and workflows without interrupting your current operations.
